Dear String Summit Family,

 

We have had a lot of positive feedback about the move to PODS (personal outdoor dance space!) for our Peacock Pickin’ Party events this summer. We also have had some negative. So we’d like to take a moment to address some of the changes in these extraordinary times.

First and foremost, we want you to know that we’ve both seen and heard your concerns, and that they do matter to us. We understand your position as fans of live music because we are fans, too. Like many of you, the entire music industry has been shuttered until just recently. At the time the Peacock Pickin’ Party series was conceived we were under the guidelines of a restrictive environment for putting on any live event. Our goal was to do what we could to not only create some work for bands and our staff; but to create whatever live experience we could for you, the patrons who are craving to get back to seeing live music along with some normality in socializing.

PODS Format :

When the event was initially planned, a drive-in format was the only option available to us if we were to have any live music event at all. While not ideal, being able to provide jobs and live entertainment was important. After watching the rollercoaster of reopening and consulting with the agents, artists, management, production, venue owner, and other promoters doing similar events, we all agreed that the POD format was absolutely the best way to go for everyone including patrons.

 

  1. Safety is always our number one concern. A Drive-In posed many safety questions such as proper ingress, egress with late arrivals and people needing to leave early which would also cause disruption to the patron and band experience. Further, we intend to follow the latest CDC and local COVID guidelines in effect at the time of the event also supporting the pivot to PODS.

 

  1. From a production perspective the PODS format is undoubtedly a much better experience for all – sonically, visually, and socially.

 

  1. PODS is the least restrictive platform currently available to us and given the isolation and social awkwardness of the last 16 months, we looked at this as the closest return to normalcy we could offer for both bands and fans alike. Fresh air, dancing with friends, no masks, getting out of the car, and attending a great party with great live music- what could be better?

Outside Alcohol

Because of COVID restrictions, when we first announced the Drive In, we could not have had a beer garden or other points of sale. Further, as the Oregon Health Authority Drive-In guidelines changed, and thus did Oregon Liquor Control and insurance stipulations to where no outside alcohol could have been sanctioned which potentially would have made this a “dry” event. Now as restrictions have relaxed, however, the PODS format allows a beer garden under Oregon Liquor Commission guidelines.

We apologize if there was confusion over what was to be permitted; but the Oregon Health Authority, insurance, and the Oregon Liquor Control Commission regulations prevent us from sanctioning a BYOB event and no outside alcohol can be permitted to a ticketed event in the music venue.

Please be assured:

  • We are going to keep our adult beverage prices low and affordable for all.
  • We will also allow the maximum number of people into a very large beer garden (currently 500 people at a time) that will have good stage visibility and sound.
  • There will be an ‘Early Bird’ party each show day in the Beer Garden where the first 100 people (of age) will receive a free hosted beverage.

Ticket Pricing

We hear your concerns regarding the changes to PODS Add On ticket price increase. We will reverse the increases in Add On prices back to $49.99 each. POD ticket patrons will be allowed to add tickets to their base 4 into their existing POD, up to a maximum of 8 people per POD. And, furthermore, we will not be increasing venue capacity even if OHA were to allow. We ask that all POD groups check in together including Add Ons. Although you are not required to arrive in one car, for parking, safety, and environmental concerns, PLEASE CARPOOL.

Refunds:

We truly hope that you will hear us too, and give this a chance. We promise it will be fun! But, if you are no longer willing or able to attend this event format due to these changes, we are allowing refund requests until June 18th 2021. You can request a refund here.

Thank you for listening in these unprecedented times. We sincerely hope this helps to provide some understanding regarding our last announcement. Please remember, we’ve never done this before. We’re rolling with the changes as they come—on a daily basis. We love our String Summit Family, and we’re thankful for your patience and support while we work to iron out all the details. Those of you who have come to know String Summit understand our commitment to make our events the best in the business and can take comfort knowing we will strive to continue in that tradition and make this the best welcome home event.

ANNOUNCE: Peacock Pickin’ Party PODS (Personal Outdoor Dance Spaces)!

That’s right, we have an actual concert on our hands now! With COVID-19 Sector risk levels decreasing and Oregon Health Authority reducing the restrictions to gatherings, we are VERY excited to announce that the Park N Pick will NOW be a PODS (personal outdoor dance spaces) event in the same location as before! The July 20 & 21, 27 & 28 events are NO longer drive-ins! Cars will now be parked in the adjacent parking lot and patrons will walk to the gate to scan their pass(es) and be shown to their respective section(s). There will be plenty of space to socially distance within each section. All previously sold “Car Passes” will still be honored and will now be treated as “PODS Passes!” This looks very much the same as before;  4 people per PODS pass – similar to the Car Pass. Also, “Passenger Add-Ons” are NOW called “PODS Add-Ons” and will be treated the same way – PODS Add-Ons must accompany a PODS Pass. All groups are still asked to carpool and arrive together. We are also very excited to announce that with the easing of restrictions, we are now allowed a Ninkasi Brewing Beer Garden!  There will be plenty of room to socially distance while enjoying beer, wine and malterantives(cider or hard seltzer) AND watch the show! We will allow outside food and non-alcoholic beverages (no glass please) to enter into the concert area. Please remember to pack out what you pack in!

January 13, 2021 – Refunds Processed For All Online Orders.

All online orders have been refunded.

All refunds will go back to original form of payment; When a card has expired or a bank account has been closed, we recommend the following:

  • EventBrite will Issue the refund to the original card
  • Please wait 10 business days from the refund date to see it posted on your account
  • Even if they have a new card number, the refund will still send to your bank and will post to their account
  • Sometimes the refund will post inline with the original transaction. So, if you bought their ticket in January, they might see the refund on their transactions right in January
  • Please know that if the account is closed your former bank/credit card provider should be liable for making good on any refund processed after the account is closed, usually via issuing a check for said amount
  • If after 10 days, you do not see the refund, send to us your Order ID and I will file a case to have someone from our team reach out to them directly to help them find it

 

January 12, 2021 – Postponement of 20th Anniversary NWSS to July 21-24, 2022.

We hope this message finds you well. In response to the ongoing COVID-19 pandemic, coupled with the uncertainties surrounding the vaccination rollout and Oregon’s timeline for allowing mass gatherings, we have made the difficult decision to further postpone the Northwest String Summit and reschedule the 20th Anniversary for July 21-24, 2022.

Here’s what you need to know:

All tickets of all types purchased online through EventBrite will be refunded in full. An Email from Eventbrite will be forthcoming. Refunds will begin January 13th, 2021 and can take up to 14 business days to reach your account.

Hard Ticket purchased at venues (e.g. Road To Strummit Series), or from one of our retail locations, (e.g. Music Millennium) can be kept for admission to the NWSS 2022 event OR you can request a refund. As an incentive to keep your previously purchased hard tickets to use at the 2022 NWSS, you will have the absolute lowest price as well as a free gift TBA!

To request a refund, you will need to follow the below steps:

  1. Return the ticket(s) to:

May 11th, 2020 – 19th Annual Northwest String Summit is Postponed to July 22-25, 2021.

Dear String Summit Kinfolk Family:

The safety, health and security of Northwest String Summit, Horning’s Hideout, our wonderful patrons, artists, vendors, volunteers, staff and contractors are the number one concern of ours. In 18 years of this event, we never could have imagined that circumstances of this magnitude and impact would come about and force us to cancel. And like the entire industry, we have been following the daily developments and struggling with how to go forward during these stressful times. After serious consideration, we have come to the following decision:

We are postponing our 19th annual Northwest String Summit until July 22-25, 2021, which will become the defacto 20th calendar year anniversary.

Oregon Governor, Kate Brown, has released the ‘Plan To Reopen Oregon’ that will systematically, and through a multi-phased approach, very slowly allow businesses to reopen on a limited basis. It is evident that mass gatherings will be the absolute last consideration and it does not appear we will be able to secure a permit for 2020. Further, the logistics of creating a safe festival environment, even in a greatly reduced capacity, is unrealistic as many of our key service providers are incapable of providing services this year.

We are offering the following ticket rollover and refund policies:

  1. Hold Onto Your Tickets: Current ticket holders can choose to rollover their tickets (ALL ticket types) to next year, our 20th year celebration.  The dates will be July 22-25, 2021.
    As an incentive to retain your ticket, for every ticket held, String Summit will donate $10 dollars from all held admission tickets to the PNW Musicians Fund. AND a free commemorative gift available at the 2021 event. More details TBA. We highly encourage you to accept this option. Regardless of whether the festival actually occurs, we incur regular expenses throughout the year with relatively no income.   This is the only event we produce, so we do not have the ability to start recouping expenses with other events. We realize that many of you are in similar financial straits; we greatly appreciate your consideration.

Please note that we hope to have the majority of our artists returning in 2021; but as of now, things are obviously difficult and we cannot guarantee who will be appearing until we confirm next year’s lineup.  Rest assured that we will continue to bring the highest quality talent you have come to enjoy and expect that next year will be extra special being our 20th calendar year.

We will continue to stay on sale at the Tier 2 level with certain allotments before pricing is to increase.

In these times of immense unknowing, detachment and distancing, we would like nothing more than to provide a well-earned reprieve and reconnection with our friends and family. May 7th, 2020 – We are aware of the recent statement by Governor Brown. Thank you for your patience as we finalize logistics and options for our patrons in the coming days. We are working diligently with our staff, partners and artists to find a solution best for all parties involved. Thank you.

April 24th, 2020 – Thank you for your patronage and continued patience through these tough times. We want to assure you that we are working diligently to determine what our next course of action will be as we continually monitor the evolution of the COVID-19 Reopening response in Oregon. We hope to have clarity from the State and County regarding mass gathering permits within the next few weeks. That will be the threshold decision point on whether we are even able to consider going forward.  If we are able to obtain the proper permit, we then need to decide on whether we can produce a safe and viable event regardless.  Until that time, we are working with our partners including our ticketing company to explore the various options available to us, so that we can publish a comprehensive policy that addresses all of our ticket holders concerns including refunds.  It is very complicated process and we want to do right for all our patrons. March 16th, 2020 – We realize that many people are in a state of limbo regarding summer plans, including Northwest String Summit, and we want to keep our fans as informed as possible. Currently, we have no plans to cancel or postpone, but health and safety are our number one priority when it comes to festival attendees, employees, partners, and artists.

To that end, we are closely monitoring the situation in Oregon and the surrounding regions. We are also taking cues from the Oregon State Health Department regarding outdoor mass gatherings and expect that we will have more information in the coming future.

We have another great lineup this year and hope to be able to bring you the experience you have come to expect for 19 years—safely and healthily. All of our artists and production team rely on gigging to feed and shelter themselves and their families. Right now is especially tough for them, so please consider helping them by buying their music and merchandise through their websites or official means.
